Accounts Receivable Specialist

NJB Protection is a national security and investigations company headquartered in Yonkers, New York. The company provides security guard services, rapid-response security teams, AI-powered surveillance, alarm response, patrol services, and enterprise security solutions across the United States.

The team is currently seeking a detail-oriented and organized Accounts Receivable & Billing Specialist to join our growing team. This role is responsible for managing invoicing, collections, accounts receivable tracking, and client communication across multiple billing platforms. The ideal candidate is proactive, professional, and experienced in handling billing operations with accuracy and efficiency.

Job Function

  • Schedule: 9:00AM-5:00PM | Monday - Friday | 5 days on-site.
  • Generate and distribute weekly client invoices accurately and on schedule across multiple billing platforms.
  • Ensure invoices reflect correct rates, service dates, purchase order numbers, and client-specific billing requirements.
  • Maintain organized records of all issued invoices and confirm invoice delivery and receipt.
  • Monitor and manage the accounts receivable aging report regularly.
  • Identify overdue accounts and escalate issues when necessary.
  • Assist in maintaining healthy cash flow through timely follow-up and payment tracking.
  • Professionally contact clients via phone and email regarding outstanding invoices and past-due balances.
  • Document all collection activities and client communications thoroughly within internal systems.
  • Escalate unresolved or delinquent accounts to management in a timely manner.
  • Maintain accurate and up-to-date client records within QuickBooks Online and other billing platforms.
  • Generate and distribute AR reports, cash flow forecasts, and collections summaries as requested.
  • Identify opportunities for process improvements to streamline invoicing and collections workflows.

Job Requirements

  • 2+ years of experience in accounts receivable, billing, or a related finance/accounting role.
  • Proficiency in QuickBooks Online (QBO) required.
  • Experience working with multiple invoicing and billing platforms.
  • Proficiency with Google Workspace/Google Suite.
