Together, these teams align NBCUniversal's content and production expertise to inspire global audiences with television that entertains and shapes culture.<br /> <br /> Job Description<br /> <br /> The Administrative Coordinator is responsible for supporting the Content & Production Risk team within the NBCUniversal Legal Department. The position will require a broad set of graphic design and administrative skills, including creating PowerPoint presentations and other design materials to enhance the presentations the team regularly gives to other legal and business groups throughout NBCUniversal. The ideal candidate will be professional, highly energetic, and personable with superior attention to detail. Responsibilities include, but are not limited to, the following:<br /> <br /> Here you can:<br /> • Arrange and schedule internal and external meetings involving executives at all levels, develop and maintain relationships with executive assistants throughout the company, and demonstrate flexibility, patience, and persistence in routinely rescheduling meetings<br /> • Answer phones professionally and take messages as required<br /> • Support ongoing knowledge management initiatives and participate in task forces to evaluate and establish new procedures to streamline workflows and enhance department productivity<br /> • Maintain confidentiality of projects, legal, and business information at all times.<br /> • Plan and organize team trainings and knowledge-sharing sessions, including logistics, materials, and communications with cross-company teams.<br /> • Prepare and process corporate and p-card expense reports and reconciliations in accordance with Company policy guidelines, processing outside counsel invoices<br /> • Prepare for presentations as directed, including preparation of both electronic and hard copy files and coordinating audio/visual needs for critical meetings<br /> • Arrange travel and all accommodations including comprehensive and detailed itineraries, process travel expenses and reimbursements, and keep accurate and timely expense account records<br /> • Handle general office and administrative tasks, including the ordering of miscellaneous supplies, assisting other members of the department, and providing backup for co-workers<br /> • Manage administrative and coordination aspects of special projects as designated including planning and organizing internal events<br /> • Conduct online and other research as needed<br /> <br /> Qualifications<br /> <br /> Here you'll need:<br /> • 1+ years of experience working in a corporate environment<br /> • College degree and/or equivalent work experience required<br /> • Expertise in Microsoft Office programs including Outlook, Word, PowerPoint, and Excel<br /> <br /> What we'll look for:<br /> • Knowledge of Adobe Photoshop or similar design software<br /> • Demonstrated interest in the media industry or legal field<br /> • Superior organizational, problem-solving, and administrative skills, with the ability to multitask and prioritize work, as demonstrated by previous corporate office experience<br /> • Previous experience performing administrative assistant responsibilities in a fast-paced environment<br /> • Solid interpersonal and communication skills, including a professional phone manner and in-person presence, experience as a team player, and the ability to develop and maintain good working relationships with other executive assistants and individuals across the company<br /> • Organized problem-solver with excellent attention to detail, a willingness to take initiative, and the ability to work without close supervision<br /> • Demonstrated ability to assume greater responsibility as circumstances dictate, be flexible in a rapidly changing business environment, and execute and follow through<br /> • Self-starter with demonstrated initiative and accountability<br /> <br /> Hybrid: This position has been designated as hybrid, generally contributing from the office a minimum of four days per week.
