FIBI Vacation Rentals is a nationwide short-term rental management and design company specializing in transforming underperforming vacation rentals into top-performing assets. We combine data-driven revenue strategies, operational excellence, and strategic interior design to maximize property performance and investor returns. We are seeking a highly organized, detail-oriented, and creative Setup & Design Assistant to join our growing team. This role combines property setup planning, interior design, procurement, budgeting, project coordination, and visual presentation creation. Position Overview The Setup & Design Assistant supports the setup, design, and launch of short-term rental properties across the United States. You will help transform vacant or underperforming properties into revenue-optimized vacation rentals by assisting with inspections, space planning, budgeting, procurement, design presentations, staging coordination, and launch preparation. This is not a traditional interior design position. Success in this role requires a balance of creativity, organization, budgeting, attention to detail, and execution. The ideal candidate has a strong eye for detail, enjoys solving problems, is comfortable working with spreadsheets and budgets, and embraces technology and AI to improve efficiency and creativity. Key Responsibilities Property Inspections & Documentation Attend remote property inspections via video calls. Direct on-site inspectors, vendors, or team members to collect all required measurements, photos, videos, and property information. Identify & Document property conditions, room layouts, operational needs,missing amenities, maintenance concerns, and setup requirements. Review floor plans, measurements, and inspection reports for accuracy and completeness. Convert inspection findings into organized project plans and actionable tasks. Space Planning & Revenue Optimization Analyze floor plans, room layouts, and measurements to maximize guest count, sleeping capacity, functionality, and amenities for highest revenue potential. Research competitor properties, market trends, guest expectations, and revenue-driving amenities. Identify opportunities to improve property performance through design, layout, furnishings, and amenities. Create room-by-room setup plans and furniture layouts. Verify measurements and ensure all proposed furniture and design elements fit appropriately within each space. Develop setup budgets and project scopes based on inspection findings. Balance design decisions with budget requirements and expected return on investment. Design & Product Sourcing Source furniture, décor, bedding, artwork, lighting, kitchen supplies, amenities, and operational items. Build detailed shopping lists with product links, quantities, pricing, and specifications. Research alternative products when items become unavailable or exceed budget. Ensure selections align with approved budgets, design goals, and market expectations. Procurement & Budget Management Place orders and manage procurement activities across multiple vendors and platforms. Track purchases, invoices, receipts, order statuses, and delivery schedules. Monitor project spending and ensure projects remain within approved budgets. Coordinate consolidated shipping, warehouse deliveries, and receiving logistics. Design Presentations & Visual Deliverables Create client-facing design presentations and project proposals. Develop mood boards, room concepts, and visual design packages. Create 2D floor plans, furniture layouts, and space planning documents. Generate renderings and visual concepts using design software and AI tools. Prepare professional Canva, PowerPoint, PDF, and presentation materials for client review and approval. Clearly communicate design intent and project recommendations through visual presentations. Photography, Staging & Launch Preparation Provide direction to on-site vendors and coordinate professional staging remotely, prior to photography. Assist with photography sourcing, planning, shot lists, and scheduling Collaborate with photographers to ensure key features, amenities, and design elements are properly showcased. Required Qualifications Experience Minimum 2 years of experience in one or more of the following Interior Design Virtual Assistant Project Coordination Procurement or Purchasing Airbnb or Short-Term Rental Operations Skills Strong organizational and project management skills. Excellent written and verbal English communication skills. Exceptional attention to detail. Ability to manage multiple projects simultaneously. Strong internet research skills. Ability to work independently with minimal supervision. Strong problem-solving abilities. Ability to follow established systems and processes while continuously improving them.
