Clinic Receptionist – Patient Coordination & Appointment Booking – Medical Office Role

Job Summary

Progressive Technology is seeking a friendly, professional, and highly organized Clinic Receptionist to serve as the first point of contact for patients and visitors. This role involves efficiently managing front-desk operations, scheduling patient appointments, and ensuring seamless coordination within the clinic environment. As the face of our medical office, you will play a key role in delivering an outstanding patient experience while supporting the smooth operation of the healthcare team.

Key Responsibilities

  • Greet and welcome patients and visitors with warmth and professionalism

  • Schedule, confirm, and manage patient appointments via phone, email, and booking software

  • Maintain and update patient records in the clinics management system

  • Answer incoming calls and respond to inquiries regarding clinic services and appointment availability

  • Handle patient check-in and check-out processes, including insurance verification and billing support

  • Coordinate with doctors, nurses, and support staff to ensure smooth patient flow

  • Maintain cleanliness and organization of the reception area

  • Process forms, documentation, and other administrative tasks as needed

  • Manage appointment reminders and follow-up communication with patients

Required Skills and Qualifications

  • High school diploma or equivalent (essential); associate degree or certification in medical administration (preferred)

  • Proficiency in MS Office and clinic management software (e.g., Practice Fusion, eClinicalWorks, or similar)

  • Excellent verbal and written communication skills

  • Strong interpersonal and customer service abilities

  • Ability to multi-task and prioritize under pressure in a fast-paced environment

  • Attention to detail and strong organizational skills

  • Confidentiality and sensitivity when handling patient information

Experience

  • 1–2 years of experience in a receptionist, administrative, or front-desk role (preferably in a healthcare or medical setting)

  • Freshers with excellent communication and a professional demeanor are encouraged to apply

Working Hours

  • Full-time: 9:00 AM – 6:00 PM, Monday to Friday

  • Part-time and flexible shift options available, including morning and afternoon shifts

  • Occasional weekend rotation may be required depending on clinic hours

Knowledge, Skills, and Abilities

  • Knowledge of medical terminology and procedures is a plus

  • Familiarity with HIPAA guidelines and patient data privacy laws
