Travel Coordinator, Remote Job

We’re looking for a Travel Coordinator to own all travel logistics across the company. This isn’t an event planning role — it’s the person who makes sure everyone gets where they need to be, on time, without stress, and within budget. 

You’ll work closely with the HR and events team and report to the HR Lead.

What You’ll Do

  • Book flights, trains, and transfers for employees (events, offsites, conferences, business trips) 

  • Handle hotel and accommodation sourcing 

  • Individual and group bookings, vendor negotiations 

  • Manage visa support end-to-end: document collection, application submission, status tracking (especially relevant for CIS passport holders traveling to EU/Asia) 

  • Maintain a travel tracker — dates, people, statuses, budgets 

  • Handle last-minute changes, cancellations, and travel emergencies 

  • Work with corporate payment tools and process expense reports 

  • Manage relationships with travel agencies, venues, and transfer providers

What We’re Looking For

  • 2+ years in travel management, event operations, or back-office coordination 

  • Solid understanding of visa requirements for CIS citizens across key destinations 

  • Ability to juggle multiple requests simultaneously without dropping details 

  • Comfortable with Google Sheets / Notion for tracking; messengers for day-to-day coordination

  • Strong attention to detail — you double-check before you send

  • Russian: working level; English: sufficient for vendor and hotel correspondence

  • Ready for uneven workload: intense during event seasons, calmer in between

Nice to Have

  • Experience supporting teams of 200+ people 

  • Knowledge of corporate offsite venues across EU, UAE, or Asia
